UniCheck ("we", "us") is a Canadian university application coaching platform. This policy explains what data we collect, why we collect it, who can see it, and the choices you have. We comply with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and, for users located in Quebec, Quebec's Law 25.

What data we collect

Account data

  • Name and email address
  • Grade level and city
  • Password (stored encrypted, never visible to staff)

Application profile data

  • Grades and course history
  • Extracurriculars, leadership, and volunteer activities
  • Draft supplemental essays and uploaded files
  • Saved and target programs

Usage and device data

  • Pages visited and features used
  • Approximate location (city/region, not precise GPS)
  • Browser type and device information

We do not sell your personal data to third parties.

How we use your data

  • To provide your account and the coaching features you use.
  • To generate your competitiveness dashboard and readiness reports.
  • To improve our programs database and recommendations.
  • To send you important account and application-related emails.
  • To understand site usage through analytics — only with your consent.

Cookies and tracking

Your consent choices. When you first visit UniCheck, a cookie banner lets you accept all cookies, reject non-essential cookies, or customize your preferences. Under Quebec's Law 25, we do not set analytics or marketing cookies until you explicitly opt in. You can change your choice at any time by clearing your browser cookies for this site — the banner will reappear.

Who sees your data

  • You — only you can see and edit your own application profile.
  • Our team — designated admins may access records only to provide support or maintain the platform.
  • Service providers — we use trusted infrastructure and AI providers to power features. They process data on our behalf under contract and do not use it for their own purposes.
  • Legal authorities — only if required by law.

Data retention

We keep your profile data for as long as your account is active. You can request deletion of your account and all associated data at any time — we will remove it within 30 days.

Security

We protect your data with encryption in transit, access controls tied to your authenticated identity, and row-level security so no user can access another user's records. AI features process your profile data only to generate your reports and never share it as training material.

Your rights under PIPEDA and Law 25

Depending on your province, you have the right to:

  • Know what personal information we hold about you and how we use it.
  • Access and correct your personal information.
  • Withdraw consent for non-essential cookies and tracking.
  • Request deletion of your data.
  • File a complaint with the Privacy Commissioner of Canada or Quebec's CAI.
